Manage store access

Store access controls where someone can be scheduled, where they can clock in, and — for managers — which stores they can administer. It is a list, not a single value: an employee can hold access to several stores at once.

  1. Open Team and select the employee.
  2. Under Store access, add the store.
  3. Set their role at that store. It does not have to match their role elsewhere — see Roles and permissions.

They can now be scheduled at that store. Clocking in on that store’s kiosk also needs them to have accepted their invitation and set a PIN — see Add a team member. For someone already working at another location, that is done; for a brand-new employee it is the step still outstanding.

Add the new store before removing the old one. If you remove first, any shifts they are already scheduled for at the old store become unassigned, and you have a hole in a published week to fill — see Cover a call-out.

Once the new access is in place and their remaining shifts are covered, remove the old store.

Removing a store takes effect immediately: the employee disappears from that store’s assignment lists and their PIN stops working on its kiosk. It does not delete anything that already happened — worked shifts, timecards and pay history at that store stay intact, because payroll and your records depend on them.

Nine times out of ten the answer is store access:

  • Not in the assignment list when scheduling — they do not have access to that store, or not for that role.
  • PIN rejected at the kiosk — same cause, from the other direction.
  • Missing from a payroll run — the run covers one store; check they had access, and hours, at that store during the period. See Run payroll.
