Create a schedule
Schedules in Clockout are built one week at a time, per store. Until you publish, nothing you do is visible to your team — draft freely.
Build the week
Section titled “Build the week”- Open Scheduling and pick the store and the week.
- Select a day and a role, then add a shift with a start time, an end time, and an optional break.
- Assign it to an employee, or leave it open for someone to pick up.
Only employees who are assigned to that store and qualified for that role appear in the assignment list. If someone is missing, check their store access first — see Add a team member.
Copy last week
Section titled “Copy last week”Most restaurants run a similar week to the last one. Use Copy previous week to duplicate the whole schedule, then edit the exceptions. Copied shifts stay in draft until you publish, and any employee who has since left the store is dropped rather than silently reassigned.
Check before you publish
Section titled “Check before you publish”The week view totals scheduled hours and estimated labor cost as you build, so you can catch an over-scheduled Saturday before it happens rather than at payroll. Watch for:
- Shifts that cross midnight — these are split across two days in reporting.
- Employees scheduled at two stores at the same time.
- Anyone approaching overtime for the week.
Publish
Section titled “Publish”Publishing makes the week visible to your team and sends them a notification. Edits after publishing are allowed; each edit re-notifies only the affected employees. When the week is running, shift changes and no-shows are handled in Time tracking.
